About FKA Children's Services

FKA Children's Services is a member-based organisation committed to supporting the early childhood education sector. Our goal is to ensure inclusion and equity in education by providing resources, professional learning, and advocacy.


FKA Childrens Services are currently seeking a Project Officer on a 2-3 month contract to review our website, systems, and processes. The ideal candidate will have strong analytical skills and a structured approach to understanding our operations, policies, and technology platforms before making recommendations for improvement.


About the Role

This role will involve an initial discovery phase, where the successful candidate will spend time in the office engaging with staff to understand our systems, workflows, and administrative processes. Following this, the role will shift to a work-from-home model, focusing on reviewing and enhancing our digital infrastructure.


Key Responsibilities

  • Analyse the current website (WordPress, MemberPress, WooCommerce) to identify functionality issues and inefficiencies.
  • Review system integrations with Xero, our CRM, and our resource centre/library (Calyx/Koha) to determine whether they are functioning effectively.
  • Assess our Access database to determine if it should be replaced or improved and explore alternative solutions.
  • Evaluate automation opportunities to reduce duplication of effort and streamline administrative processes.
  • Identify gaps and inefficiencies in current digital systems and propose solutions to improve usability and integration.
  • Manage the implementation of necessary improvements, including sourcing and overseeing any required technical support.
  • Train staff on any new or updated systems or processes.


Key Selection Criteria

To be successful in this role, you will need:

  • Strong analytical and problem-solving skills – the ability to assess existing processes and identify areas for improvement.
  • Experience in system and process review – particularly in a not-for-profit or membership-based organisation (preferred but not essential).
  • Understanding of website functionality – ideally with WordPress, MemberPress, and WooCommerce.
  • Experience with business systems and integrations – knowledge of Xero, CRM platforms, and database management.
  • A structured and consultative approach – ability to spend time understanding operations before proposing solutions.
  • Project management skills – the ability to oversee system improvements and ensure smooth implementation.
  • Excellent communication and stakeholder engagement skills – ability to liaise with staff, understand their needs, and provide training on any system changes.
