Project Manager – CRM & Systems Optimisation
• Short-term contract (4–6 weeks, approx. 12–14 days total) commencing early July 2025
• Help a mission-driven NFP maximise its digital tools and empower staff through training
• Review, streamline, and document existing CRM and integrations (WordPress, Xero, Stripe, Mailchimp)

Patterson Recruitment is proud to be recruiting on behalf of General Practice Registrars Australia (GPRA), a national not-for-profit, member-based organisation supporting the personal and professional wellbeing of Australia’s future GPs. GPRA provides advocacy, resources and connection for GP registrars and medical students and is committed to operational excellence to support its service delivery.
The Role
GPRA is seeking a capable and technically experienced Project Manager to lead a short-term systems review and optimisation project. The successful candidate will assess the current state of digital systems, integrations and workflows—particularly CRM use—and deliver documentation, training and simple business rules to empower internal staff and improve overall effectiveness.
Over approximately 12–14 working days across 4–6 weeks (2 days/week), this hands-on role will involve:
- Auditing current use of tools such as WordPress, Mailchimp, Stripe, Xero and CRM systems
- Mapping current vs inactive features and integrations; identifying under-utilised capabilities
- Creating business rules, process documentation and simple training resources
- Delivering practical training and upskilling to enable staff to confidently manage and maintain systems
Key Selection Criteria
To be considered for this role, candidates must demonstrate the following:
- Advanced knowledge of WordPress, with the ability to assess, edit and document existing website features and integrations
- Experience reviewing, activating and managing CRM and third-party integrations (e.g. Mailchimp, Stripe, Xero)
- Ability to identify workflow and automation gaps and recommend practical improvements
- Strong documentation and instructional writing skills, including drafting business rules and short user manuals
- Proven experience training or coaching staff in system use and processes
- Ability to work independently and collaboratively, with a systems thinking mindset
